Getting ready to PCS? Today I’m sharing 10 important documents to keep safe during a military move.
Ask any military family and they will tell you that the only certainty in military life is moving. Moving, especially as a military family, can be a complex and challenging process. The coordination, planning, and execution required for a successful move (and navigating about 1,000 moving parts) demand attention to detail and organization. Among the myriad of tasks on your moving checklist, ensuring the safety of important documents is so important. Let me say that again: SO IMPORTANT. Today I’m sharing a comprehensive guide to the important documents that should be kept safe (i.e. on you and not packed) during a military move.
10 Important Documents To Keep Safe During a Military Move
The key to a successful military move is meticulous planning and organization, and safeguarding your important documents is a critical part of that process. I remember my first move felt so overwhelming, because there were so many moving parts. I cannot say enough things about having a PCS folder to keep all of these documents in and having it on/near you at all times. By ensuring that each family member has access to these essential documents, you’ll be better prepared for any administrative requirements at your new duty station.
1. PCS Orders (Multiple Copies)
Your Permanent Change of Station (PCS) orders are the lifeline of your move. They contain vital information such as your destination, reporting date, and the type of move authorized. Make multiple copies of these orders, ensuring that each traveling member of your family has their own set. Keep them in a secure folder that’s easily accessible during your journey.
2. Original Birth Certificates (All Travelers)
Birth certificates are essential for various administrative processes, from enrollment in schools to accessing medical services. It’s advisable to carry the original birth certificates for all family members. Place them in a secure folder along with copies for added precaution.
3. Marriage Licenses
For married service members, having a copy of your marriage license is crucial. It can be required for various administrative processes, including housing applications and benefits enrollment. Keep both the original and copies in a safe and accessible location.
4. Social Security Cards (All Travelers)
Social Security cards are essential for a range of purposes, including employment and benefits. Ensure that each family member has their original card safely stored. Consider making additional copies for added security.
5. Driver’s License, Permit, or State ID (or Passport, if Applicable)
Personal identification is vital, especially when arriving at a new duty station. Ensure that everyone in your family has a valid form of identification, such as a driver’s license, permit, state ID, or passport if applicable. Keep these documents readily available during your move.
6. Medical, Dental, and Immunization Records (All Travelers)
Your family’s health records are crucial, especially if you’re moving to a new medical facility. Keep original medical, dental, and immunization records in a secure and easily accessible folder. Consider having digital copies stored on a secure cloud platform as a backup.
7. Deeds and Titles to All Property
If you own property, ensure you have the deeds and titles securely stored. These documents are essential for property transactions and legal matters.
8. Legal Documents like Wills and Powers of Attorney
Having legal documents such as wills and powers of attorney in order is crucial for any family, military or not. During a move, ensure these documents are in a secure location, and inform a trusted family member or legal representative about their whereabouts.
9. State and Federal Income Tax Returns
Tax returns are often needed for various administrative purposes, including housing and financial transactions. Keep copies of your state and federal income tax returns in a secure folder.
10. Documentation on Household Goods
Keep all relevant documentation related to your household goods and belongings. This includes inventory lists, moving company contracts, and any receipts or appraisals for valuable items. Having these documents on hand will help in case of loss or damage during the move.
